We collect only data that is necessary to operate, secure, and support our products and activities.

Licences are issued to a single recipient identified by the email address used at the time of request.

b) Technical and system data

Depending on the product or service, this may include:

  • Licence identifiers and entitlement metadata
  • Product version and build identifiers
  • A locally generated installation identifier used for licence management
  • Operating system type and high-level system characteristics
  • Diagnostic or error logs, where you explicitly enable them or provide them for support purposes

Where possible, usage data is aggregated. Installation identifiers are used solely for licence validation and security purposes.

We do not collect:

  • User-generated models
  • Simulation outputs or experimental results
  • Neuron parameters or cognitive state data
  • Proprietary research data

unless this is explicitly agreed as part of a formal research or collaboration arrangement.

We use personal and technical data only for clearly defined purposes, including:

  • Issuing, renewing, and validating software licences

BioSynapStudio Lab licences require manual renewal. No background or automatic renewal calls are performed.

Qognetix does not use product data to train large language models or unrelated AI systems.

  • Contract – to fulfil licence and product obligations
  • Legitimate interests – to secure and protect our systems and intellectual property
  • Consent – where you explicitly opt in (for example, research participation or mailing lists)

Licence and operational data is processed using Qognetix-controlled infrastructure, including our self-hosted licence workflow and generation system hosted on AllHost.

We apply appropriate technical and organisational safeguards, including:

  • Encrypted transport for licence and web traffic
  • Access controls limited to authorised personnel
  • Separation between licensing, operational, and research data

We may store and process data in the UK and other jurisdictions where our infrastructure operates. Where personal data is transferred internationally, appropriate safeguards are applied as required by law.

We do not sell personal data.

We share limited data only where necessary with:

  • Infrastructure and hosting providers supporting our services
  • Email delivery and communication providers
  • Legal or regulatory authorities, where required by law

All such parties are required to process data in accordance with applicable data protection obligations.

We retain data only for as long as necessary:

  • Licence and account data is retained while licences remain active and for a reasonable period thereafter
  • Support communications are retained to ensure continuity and auditability
  • Research data is retained only under the terms of a specific agreement

9. Product-specific notes

BioSynapStudio Lab

  • Designed to run locally by default
  • Does not transmit simulation content, experimental results, or cognitive state data
  • Licence validation occurs only during explicit verification events
  • May record limited, non-invasive system information for licence management and security (such as installation identifier, software version, and operating system type)
  • No continuous monitoring is performed
  • No third-party tracking is used
